Registration Policies

Registration fees must be paid in U.S. dollars (USD) and drawn on a U.S. bank. Credit card fees will appear as a charge on your credit card statement to ASLO.

Online registration is preferred and highly recommended. Electronic registrations must include complete credit card information.

If you are not able to register by electronic means, please complete the printable version of the registration form and send to the address listed below with payment or credit card information.

The full registration fee includes admission to all oral and poster sessions, exhibits, town hall meetings and workshops, auxiliary meetings (unless by invitation only or otherwise specified), Sunday welcome mixer, receptions, coffee breaks, access to the mobile app, and the electronic program (*). Optional events such as any field trips or other special organized activities are not included.

(*) Please note that a printed program book will be available only to those participants who request a copy when they register for the meeting. If you wish to receive a printed program for the meeting, you must have indicated this on your registration form.

The single-day registration fee includes admission to all oral and poster sessions, exhibits, town hall meetings, auxiliary meetings (unless by invitation only or otherwise specified), workshops, and coffee breaks for the day you registered, access to the mobile app and the electronic program.

Guest / Spouse Fee

Spouse and guest fees cover only the conference social events such as the Sunday welcome reception and other receptions, and coffee services. Optional events such as any special activities are not included. The guest/spouse fee does not include admission to the plenary or concurrent sessions.

Fees to attend the meeting should be paid in advance. Registrations are not considered final until a check, money order, purchase order, or charge card information is received. All registrations must include complete credit card information, including number, expiration date, and cardholder name. VISA, MasterCard, and American Express are accepted. Organizations can be billed only if a purchase order accompanies the registration either electronically or by mail.

Substitutions or Cancellations

We understand that occasionally other responsibilities and personal obligations prevent you from attending a program for which you have registered. If you find that you will not be able to attend the meeting, we encourage you to send a substitute. Substitutions can be made at any time at no additional charge, even on-site at the conference.

If you find it necessary to cancel after you have already paid, we can refund your conference fee (less a $70.00 USD processing fee) if we receive notice in writing on or before 10 May 2018. Registrants who cancel on or after 11 May 2018 will be not be eligible for any part of a refund. Abstract submission fees are non-refundable. (Please note that refunds only can be issued to the credit card that was used for the initial transaction.)

The conference management office must be made aware of all substitutions or registration transfers in writing; email notification is preferred.

To provide cancellation notice, request a refund, withdraw your presentation, or to advise us of a substitution, please send an email to Lynda West, ASLO 2018 Project Manager, at lyndaw@sgmeet.com. Method of Payment

Fees to attend the meeting must be paid in advance. Registrations are not considered guaranteed until a check, money order, purchase order, or charge card information is received. VISA, MasterCard, and American Express are accepted. Organizations can be billed only if a purchase order accompanies the registration and is sent by email or by mail.

Registration will be confirmed via e-mail once payment is received.

Payment can be made by any of the following methods:

  • Check made payable to ASLO. Payment must be made in U.S. dollars and drawn on a U.S. bank. Checks accompanying a completed forms package will be mailed to:

Participant Waiver, Release of Liability and Code of Conduct

Each person who registers for the ASLO 2018 Summer Meeting will be required to read and accept the terms of the Participant Waiver and Release of Liability and the ASLO Meeting Code of Conduct.

The person registering will agree to assume all risks and agree to indemnify and hold harmless the Association for the Sciences of Limnology and Oceanography (ASLO), sg Meeting and Marketing Services, society officers, employees, elected officials and agents, from and against any and all liability claims, actions, causes of action, demands, rights, damages, cost, loss of service, expenses, and compensation for all negligence whether active or passive arising out of or related to the registrant’s participation in the ASLO 2018 Summer Meeting.

The ASLO Code of Conduct can be found at https://aslo.org/page/events-code-of-conduct. ASLO expects all meeting attendees to read and follow this code of conduct at all ASLO-sponsored meetings.

Letters of Invitation

You must have paid the registration fee to receive an invitation letter. If you require an invitation letter, please contact the ASLO 2018 project manager, Lynda West, lyndaw@sgmeet.com.

Please note: We are unable to send invitation letters directly to consulates on behalf of a potential attendee. Invitation letters are prepared solely for individuals and are emailed directly to them. It is your responsibility to ensure documentation is correct and completed in a timely manner before you start your journey. We recommend you to apply for your visa at least 10 weeks before you travel (earlier in some cases). For more information, contact your nearest embassy or consulate.
