Registration Information and Policies

Registration fees must be paid in U.S. dollars (USD) and drawn on a U.S. bank. Credit card fees will appear as a charge on your credit card statement to ASLO.

Online registration is preferred and highly recommended. Electronic registrations must include complete credit card information and the CVC code on the back of the credit card.

If you are not able to register by electronic means, please complete the printable version of the registration form and send to the address listed below with payment or credit card information.

The full registration fee includes admission to all oral and poster sessions, exhibits, town hall meetings and workshops, auxiliary meetings (unless by invitation only or otherwise specified), Sunday welcome mixer, receptions, coffee breaks, and the electronic program (*). Optional events such as any outreach activities or other special organized activities are not included.

(*) Printed program - Please note that a printed program book will be available only to those participants who request a copy when they register for the meeting. If you wish to receive a printed program for the meeting, you must have indicated this on your registration form. This policy will be strictly adhered to for this meeting.

Letters of Invitation

You must have paid the registration fee to receive an invitation letter. If you require an invitation letter, please contact the ASLO 2019 conference registrar, Jo Davis, at jdavis@sgmeet.com. We recommend that you do this as soon as you submit your abstract to ensure that you receive your visa and travel documents in time for the meeting. Your presentation assignment is not required for your letter of invitation to be issued.

Please note: We are unable to send invitation letters directly to consulates on behalf of a potential attendee. Invitation letters are prepared solely for individuals who have paid their registration fees to attend the meeting, and such documents will be emailed directly to the participants. It is your responsibility to ensure documentation is correct and completed in a timely manner before you start your journey. We recommend you apply for your visa at least 10 weeks before you travel (earlier in some cases). For more information, contact your nearest embassy or consulate.

Guest/Spouse Fee

Spouse and guest fees cover only the conference social events such as the Sunday welcome reception and other receptions, and coffee services. Optional events such as any special activities are not included. The guest/spouse fee does not include admission to the plenary or concurrent sessions.

Fees to attend the meeting should be paid in advance. Registrations are not considered final until a check, money order, or charge card information is received. All registrations must include complete credit card information, including number, CVC code, expiration date, and cardholder name. VISA, MasterCard, and American Express are accepted. Organizations can be billed only if a purchase order accompanies the registration either electronically or by mail.

Registration for U.S. Government Employees

U.S. government employees may register between now and the meeting and still will be able to register at the appropriate early rate. This includes new registrants who register online and submit an abstract before the early registration deadline, those who register between 22 October and 24 February 2019, as well as those who register onsite.

In order to submit an abstract, U.S. government employees must be prepared to pay the appropriate abstract submission fee by the 22 October deadline. Please contact Lynda West at lyndaw@sgmeet.com to receive a registration code before you submit your abstract. This code will allow you to submit your abstract, pay the abstract submission fee, but defer payment of the required registration fee. The balance of your fees must be paid in full prior to the meeting.

Registration for Members of Supporting Organizations

If you are a member of one of the following organizations, please select the appropriate registration fee when registering. If you are not an ASLO member, please select one of the appropriate non-member rates. Additionally, you must enter the correct registration code for your society. The code will allow you to register at the discounted ASLO member rate.  Please contact Lynda West at lyndaw@sgmeet.com if you have questions or if you need the appropriate code to register.

Substitutions or Cancellations

We understand that occasionally other responsibilities and personal obligations prevent you from attending a program for which you have registered. If you find that you will not be able to attend the meeting, we encourage you to send a substitute. Substitutions can be made at any time at no additional charge, even on-site at the conference.

If you find it necessary to cancel after you have already paid, we can refund your conference fee (less a $70.00 USD processing fee) if we receive notice in writing on or before 24 January 2019. Registrants who cancel on or after 25 January 2019 will be not be eligible for any part of a refund. Abstract submission fees are non-refundable. Likewise, if you join ASLO at the time that you register, your membership dues are non-refundable. (Please note that conference registration refunds only can be issued to the credit card that was used for the initial transaction.)

The conference management office must be made aware of all substitutions or registration transfers in writing; email notification is preferred.
